Overview
Ninja Watchdog is a utility for account access, platform monitoring, recovery tools, and alerts. This policy explains what information we collect, how we use it, and the choices available to you.
Information We Collect
We collect information you provide directly, including your email address, your Ninja Watchdog account sign-in credentials (which are processed by Firebase Authentication), support messages, account settings, notification preferences, and any details you choose to include when contacting us.
Your NinjaTrader connection credentials — the username and password used to sign in to NinjaTrader — are stored encrypted on your own computer or VPS. They are not transmitted to or stored on Ninja Watchdog servers, and they are not included in the diagnostic logs described below.
Payments are processed by Stripe. We do not receive or store full payment card numbers. Stripe shares with us subscription and billing status, billing events, the card brand and last four digits, and billing contact details, which we use to operate your subscription and trial. Stripe processes your payment information under its own privacy policy.
When you use the website, hosting and security providers may process technical information such as IP address, browser type, device information, pages visited, timestamps, and security or error logs.
We use Google Analytics to understand website usage, sign-up flow performance, checkout starts, downloads, and completed subscription purchases. Google Analytics may process device, browser, page, event, and approximate location information. We do not send your email address to Google Analytics.
We partner with Microsoft Clarity to capture how visitors use and interact with the website through behavioral metrics, heatmaps, and session replay. We use this information to improve onboarding, support, site optimization, product marketing, fraud prevention, and security monitoring. Website usage data is captured using first and third-party cookies and other tracking technologies and may include device, browser, page, interaction, and approximate location information.
We mask account and authentication surfaces where email addresses or account-specific messages may appear, and we do not use Clarity to collect payment card details, NinjaTrader credentials, or Ninja Watchdog passwords. We use Tolt affiliate tracking to recognize when a visitor arrives through a partner link, creates an account, or starts a paid subscription. This may process referral link identifiers, click identifiers, pages visited, timestamps, and the email address used to create the lead so affiliate commissions can be tracked accurately.
The Ninja Watchdog desktop app is intended to monitor local NinjaTrader sessions, logs, and recovery status on your computer. After you sign in, Ninja Watchdog automatically uploads recent NinjaTrader log/trace files, Ninja Watchdog app logs, app health events, recovery status, alert events, and service health information so support can help with issues and keep Ninja Watchdog reliable.
To power 24/7 cloud monitoring, the Ninja Watchdog desktop app also sends periodic heartbeat and status signals to our servers while it runs. These include your account identifier, a machine identifier, app version, monitoring and connection status, and timestamps. Our servers use the absence of these signals to detect that a monitored machine has gone offline and to send you offline alerts you have enabled.
The Windows app setup process also sends limited installation details before sign-in when setup succeeds or fails. This can include app version, install mode, operating system details, setup log excerpts, computer and installation-location identifiers, user agent, timestamps, and the server-observed IP address. Some additional IP-related signals may be stored in hashed form. We store the raw server-observed IP address for support correlation, abuse prevention, release safety monitoring, and to recognize installs from known VPS environments when diagnosing customer issues.
If the desktop app cannot restore a saved Ninja Watchdog sign-in, it may send a limited account lifecycle report before sign-in completes. This helps support determine whether the saved session expired, was reset by user choice, was affected by a Windows profile change, or failed during an update. These reports can include your Ninja Watchdog email address, app version, computer identifier, operating system details, recent app log excerpts, timestamps, and the server-observed IP address.
How We Use Information
We use information to provide account access, process self-service licensing, send requested alerts and product messages, operate cloud monitoring, detect when a monitored machine stops reporting and send offline alerts you have enabled, improve reliability, investigate errors, protect against abuse, and operate Ninja Watchdog services.
We use aggregated website and conversion analytics to improve onboarding, pricing flow, product reliability, and support prioritization.
We use affiliate attribution data to credit referral partners for eligible subscriptions and to understand which referral channels lead to real customers.
Authentication Providers
Account sign-in is powered by Firebase Authentication. If you use Google sign-in, Google may process information according to its own privacy terms. We use authentication data to identify your account and manage access to Ninja Watchdog.
Emails and Notifications
We may send account, security, support, alert, and product update messages. Alert delivery preferences are managed from your account. You can ask to stop receiving marketing or launch update emails by contacting support. Transactional account and security messages may still be sent when needed to operate the service.
Sharing
We do not sell your personal information. We may share information with service providers that help us run the website, authentication, hosting, email delivery, payment processing, customer support, and security operations. We may also share information when required by law or to protect rights, safety, and service integrity.
Support Data Access and Retention
Uploaded logs, setup and sign-in reports, raw IP addresses, and support health signals are intended for customer support, service reliability, security, and release monitoring. Access is limited to authorized support staff and service providers who need it to run or protect Ninja Watchdog. Raw IP addresses are not shown in ordinary customer account pages.
Routine setup information is retained only as long as reasonably needed for support troubleshooting, security, abuse prevention, release reputation monitoring, or legal/accounting obligations. We may retain records connected to unresolved support, fraud, security, payment, or reliability investigations for longer when needed to protect customers and operate the service.
Data Security
We use reasonable administrative, technical, and organizational safeguards for the information we process. No online service can guarantee perfect security, so you should use a strong password and keep your account access confidential.
Your Choices
You may request help accessing, correcting, or deleting account information by contacting us. Some information may be retained when needed for security, legal, accounting, dispute resolution, or service integrity purposes.
